Dynamic groups

29.04.2022

This help page is for Priima environment administrators
Dynamic group | Building a group | Merging rules | Rules | Choosing the landing page for the group

A user is removed from a dynamic group when the “Remove user if conditions are not met” option is selected in the dynamic group rules. In this case, the user automatically leaves the group when he or she no longer meets the conditions for the dynamic group.

Please note! If a user is set as the course administrator, they will not leave the course even if the group is removed from the course or they no longer meet the conditions of the dynamic group attached to the course. Course administrators must always be removed manually from the course.

Dynamic group

The administrator can create dynamic groups with defined conditions, based on which Priima will then automatically add and / or remove members. A dynamic group can also be attached to a course or courses.

Building a group

The administrator may choose whether to add the user if the conditions are met and to delete the user if the conditions are not met. The default option is to add the user if the conditions are met and the user is removed if the conditions are not met.

Merging rules

If more than one rule is used, it is important to choose whether to use AND or OR operator between the rules.

Rules

Possible rules include

  • user data fields
  • course completion
  • login method (local, SSO, Google, Facebook, LinkedIn)
  • self-registration (through registration form)
  • Superior
  • one or more courses completed
  • course completion/result expiry
  • completion of one or more learning paths
  • date format user field
  • member in groups
  • not a member in groups

Each rule can be used once in a single dynamic group.

group rules

Course grade as a rule of a dynamic group

It has been possible to use a specific course as a condition for a dynamic group. If the course has an Assessment Scale, it is possible to choose as a condition for completion

  • approved course completion when the course assessment is Passed, or Passed or Failed
  • a certain grade of 1 to 5 when the course evaluation is 1 to 5 or 1 to 5 or failed
  • failed completion when the course grade is 1 to 5 or failed

This condition allows you to conveniently target new learning content based on a specific performance.

Duration of employment as a rule of a dynamic group

When the user data field is a date format, the date in the field can be defined to be either later than or earlier than a certain period before or after the present.

In other words, the rule is always changing, it always compares to the current date.

Example 1: If the field indicates the start time of the employment relationship, users can be defined to belong to different groups based on how long the employment relationship has lasted. In this case, the date-based user data field that specifies the desired conditions is selected as the group rule:

In the example situation, users who have worked in the organization for less than 6 months have been preferred, so the date of commencement of the employment relationship is later than 182 days before the present moment. When you save a rule, it shows the date to which the situation compares on that day:

Example 2: If you want users in the organization who have been in the organization for more than 6 months, you must choose the rule that the employment start date is earlier than 183 days before the current time.

Targeting courses to a group

Group settings can be used to assign courses to a group. Group members are directly added as members to these courses and the courses appear to them in the Courses view on the dashboard. If necessary, the course can be marked as required, in which case the learner will be shown the Required Course entry in connection with the course, and the completion of this course can also be monitored in the reports in the views of the required courses. When new members join a group based on dynamic terms, that course is also targeted at new members as required.

Choosing the landing page for the group

The environment administrator can choose what is the landing page for a particular group. Options are Dashboard, Course catalog, or a specific Course. The Course option is activated when a group is attached to one or more courses in the group settings. If there are multiple courses, you can choose which course users will be directed to when they log in. This feature is especially handy for those users who study at Priima mainly in one course.
